These Terms & Conditions govern bookings and stays at Nzumba Lodge, operated by Nyeleti Game Farm (Pty) Ltd t/a Klaserie Camps (registration number 1992/001852/07) (“Nzumba Lodge”, “we”, “us”, “our”). By making an enquiry, requesting a booking, or staying with us, you (“the guest”, “you”) agree to these terms.
Note on the Consumer Protection Act: These terms are written to operate alongside the Consumer Protection Act 68 of 2008 (CPA) and POPIA. Nothing in these terms limits any right you have under the CPA that cannot lawfully be excluded.
1. Definitions
- Booking — a reservation for accommodation and/or services at Nzumba Lodge.
- Confirmation — our written notice (by email) that a booking is secured, issued once the required deposit is received.
- Lead guest — the person who makes the booking and is responsible for the booking and all members of the party.
- Rates — the prices quoted for accommodation and services, as set out in your quotation or confirmation.
2. Bookings and confirmation
2.1 All bookings are subject to availability and are only confirmed once we have issued written Confirmation and received the required deposit.
2.2 The lead guest must be 18 years or older and is responsible for the conduct of all members of the party and for ensuring all party details supplied to us are accurate.
2.3 We reserve the right to decline or cancel a booking where information provided is inaccurate, where payment is not received as required, or in other reasonable circumstances. Where we cancel for reasons not attributable to you, any amounts paid will be refunded.
3. Rates and payment
The commercial figures in this section (deposit percentage, balance timing, payment methods and surcharges) are draft defaults aligned to standard lodge practice and must be confirmed by Klaserie Camps before publishing.
3.1 Rates are quoted in South African Rand (ZAR) and, unless stated otherwise, are per the terms set out in your quotation.
3.2 Deposit: A deposit of [50%] of the total booking value is required to secure your dates.
3.3 Balance: The balance is due [30 days] before arrival. For bookings made within [30 days] of arrival, full payment is required at the time of booking.
3.4 Payment methods: Bank transfer (EFT) is preferred. Other methods (for example credit card or international transfer) may carry a processing surcharge, which will be disclosed before payment.
3.5 Your dates are not held or guaranteed until the deposit reflects in our account and Confirmation is issued.
4. Cancellation and refunds
These cancellation tiers are draft defaults — confirm with Klaserie Camps before publishing.
4.1 Cancellations must be made in writing. The following applies based on the date we receive your written cancellation:
- More than 60 days before arrival: full refund, less a 10% administration fee.
- 30 to 59 days before arrival: 50% refund of amounts paid.
- Fewer than 30 days before arrival: no refund.
4.2 No-shows and early departures are treated as cancellations fewer than 30 days before arrival, and no refund is due.
4.3 We strongly recommend that all guests take out comprehensive travel insurance covering cancellation, curtailment, medical emergencies and trip disruption.
5. Amendments to a booking
5.1 If you wish to change the dates or details of a confirmed booking, we will try to accommodate the change subject to availability. Changes may be treated as a cancellation and re-booking, and the cancellation terms in clause 4 may apply.
6. Check-in and check-out
6.1 Standard check-in and check-out times will be confirmed in your pre-arrival information. Early check-in or late check-out is subject to availability and may carry an additional charge.
7. Children
7.1 Children are welcome subject to our minimum-age and supervision policy, which will be confirmed at the time of booking. The Klaserie Private Nature Reserve is an unfenced wilderness area; children must be supervised by a responsible adult at all times.
8. Health, safety and wildlife
8.1 Malaria: The Klaserie Private Nature Reserve lies within a malaria-risk area. We recommend you consult a medical professional regarding malaria prophylaxis before travelling.
8.2 Wildlife and unfenced environment: Nzumba Lodge is situated in an open, unfenced Big-Five wilderness. Wild animals move freely through the reserve and the lodge grounds. Guests must follow all safety instructions given by lodge staff and guides at all times, must not walk unaccompanied at night, and must remain in vehicles during game activities unless instructed otherwise by a qualified guide.
8.3 Guests participate in safari activities and use the lodge facilities at their own risk, subject to clause 9.
9. Liability and indemnity
9.1 To the maximum extent permitted by law, and subject to the Consumer Protection Act, Nzumba Lodge, its owners, staff and contractors shall not be liable for any loss, damage, injury, illness or death suffered by a guest or member of the party, or for loss of or damage to personal property, except where caused by our gross negligence or wilful misconduct.
9.2 Guests are liable for any loss or damage they cause to lodge property, fittings or the environment.
9.3 Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited under South African law.
10. Force majeure
10.1 We are not liable for failure to perform our obligations where caused by events beyond our reasonable control, including natural disasters, extreme weather, fire, flood, epidemic or pandemic, government action, or civil disruption. In such cases we will work with you in good faith on a credit or rescheduling, where reasonable.
11. Guest conduct
11.1 We reserve the right to refuse service to, or require the departure of, any guest whose conduct is unlawful, endangers others, damages property or wildlife, or materially disrupts other guests, without refund.
12. Personal information
12.1 We process your personal information in accordance with our Privacy Policy and POPIA. By making a booking you consent to that processing.
13. Complaints
13.1 If any aspect of your stay falls short of expectations, please raise it with lodge management during your stay so we have the opportunity to address it. Unresolved complaints may be submitted in writing to the contact details below.
14. Governing law
14.1 These terms are governed by the laws of the Republic of South Africa, and the parties submit to the jurisdiction of the South African courts.
